Description

Summary:
The LRHC HR/Payroll Administrative Assistant plays a vital role in ensuring the smooth operation of the office by providing essential administrative support to LRHC Program Staff, Personal Care Attendants, and Consumers. At LRHC, the responsibilities of the HR/Payroll Administrative Assistant include, but are not limited to, employee records management, database updates and changes, HR/payroll system support, handling employee requests, ensuring employee annual compliance, and performing general administrative tasks.

Essential Functions:

Collaboration & Customer Service

Team Collaboration: Work closely with HR/Payroll team members, other departments, employees, and consumers to support seamless operations.
Customer Service: Provide first-level support for inquiries directed to HR/Payroll through electronic communications, phone calls, in-person visits (including guests, vendors, employees, in-office staff, and consumers), and referrals from other departments and Liberty Companies.

Employee Records & Database Management

Employee Record Management: Maintain accurate and up-to-date employee records in both digital and physical formats. Participate in periodic quality checks and audits of employee files.
Human Resources and Payroll Database Management: Access and manage employee records within digital systems, including the Paycom payroll system and the HHA Exchange homecare services platform.
Database Updates: Process updates to HR databases for employee changes, such as demographic updates and email address changes for active and exiting employees.

HR/Payroll System Support

HR/Payroll System Assistance: Assist employees with HRIS login credential resets in Paycom, provide guidance on using HHA Exchange, review work schedules, and redirect calls to the appropriate supervisor and/or scheduling manager when necessary.
Employee Requests and Correspondence: Complete employment verification forms (both physical and digital), draft employment verification letters, and process paystub requests.

Employee Relations & Compliance

Employee Relations: Respond to employee inquiries and provide support on HR-related issues, escalating matters as needed.
Employee Annual Compliance Training (ACT): Organize, schedule, and coordinate ACT sessions. Prepare training packets and materials, maintain accurate records, and support employee engagement through events and activities related to ACT.

Administrative Support & Other Duties

General Administrative Tasks: Handle and respond to general administrative requests, ensuring timely follow-up and resolution.
Additional Duties: Work independently and perform other duties as assigned by the HR/Payroll Manager to support departmental needs.

Qualifications

Bachelor’s degree in Business, Healthcare, Disability Studies, Public Policy, Administration or a related field. Four years of professional work experience with at least two years in a supervisory and administrative position, with demonstrated knowledge of the Independent Living field. Strong interpersonal, organizational and communication skills (written and verbal) and the ability to meet deadlines and manage multiple projects simultaneously are required. This position requires local, state, national, and overnight travel. Computer literacy skills, bilingual skills and American Sign Language is desired.
