Program Coordinator, US Team
Position Location: Remote- US based. Open to candidates who reside in the following states - MD, DC, MA, MI, CA, CT, NY, NC, DE
The Program Coordinator plays a vital role in ensuring the efficient support of the US Program Team at Imaginable Futures. This position provides essential administrative and logistical support, enabling seamless program operations and coordination. Success in this role requires exceptional organizational skills, clear communication, and a passion for driving social change.

Here's More About What You'll Do:
Program Support
- Assist the US program team, in preparing and organizing grant proposals, ensuring clarity, alignment with priorities, and adherence to funding guidelines.
- Handle grant agreement closure tasks, such as PAC submissions, wire confirmations, and obtaining necessary signatories.
- Schedule, coordinate and oversee logistics for virtual and in-person program meetings and partner convenings, including travel arrangements, accommodations, team building activities and general event planning, with assistance from the Administrative Assistant.
- Manage Asana, our project management tool, for the US program team.
- Manage the agenda of internal meetings, ensure accurate notes when appropriate, ensure key action items go into Asana.
- Participate in virtual and in-person local and global team events, offering insights for program improvements.
Financial and Legal Partner Support
- Support the contracting of and payments to local vendors.
- Monitor financial reports and provide reporting to the global finance team, proposing changes and improvements when necessary.
- Support with tracking program budget, alongside the Operations Program Lead.
Data and Knowledge Management
- Support the US program team with grant operational tasks in Salesforce, including accurately entering and managing data (i.e., grant details, contact information, etc.)
- Support contract processing, invoice tracking, and document filing in Salesforce in partnership with the program, legal and finance teams.
- Prepare reports, presentations, and other documentation as needed.
- Monitor and report on program metrics and outcomes.
Communication
- In partnership with the Strategic Comms Lead, help to draft and distribute program communications, including newsletters, emails, and event invitations.
- Maintain and update local email distribution lists.

- Passion for social change with a deep understanding of justice, equity, diversity, and inclusion principles.
- Minimum of five years of work experience in program coordination or administrative roles, with demonstrated ability to manage multiple tasks efficiently.
- Proficiency in IT tools, including MS Office, G Suite, and virtual meeting platforms like Zoom or WebEx. Familiarity with Salesforce or other CRMs is highly desirable.
- Exceptional writing and interpersonal communication skills.
- Strong attention to detail, excellent time management, and the ability to work independently.
- Self-motivated, results-oriented, and flexible, with a collaborative mindset.
- Willingness to travel domestically and potentially internationally 4-6 times a year for in-person meetings.
- Reliable high-speed internet access.

Competitive Compensation And Benefits: The estimated annual salary for this role is $66,200 -$82,700 however the exact salary will vary, based on location and experience.
