Work location: Flexible workers may be required to travel to SAIF’s offices in Salem, Oregon on a weekly basis.
Responsibilities:
- Set clear direction and objectives that are aligned with SAIF’s vision and mission. Drive employee engagement and team effectiveness through effective communication and by creating and maintaining an environment where individuals are empowered, motivated, and where the importance of collaboration within and across divisions / teams is fully understood and encouraged. Recognize individual differences while focusing on team cohesion. Develop and sustain an inclusive collaborative team environment to support diverse team members throughout the division.
- Manage a team of staff by utilizing the performance management process, clarifying job responsibilities and performance expectations, establishing goals and job competencies, identifying skill gaps, creating development plans, coaching on a continuous basis, maintaining pay equity, and evaluating performance.
- Determine staffing needs, develop schedule, and work assignments, and arrange for coverage for vacations and other absences to ensure sufficient staffing levels are in place to meet daily document management processing and customer service needs. Authorize time off and recommend overtime requirements to manager.
- Oversee and coordinate the daily operations of the workflows, monitoring employee productivity, ensuring timely completion of work and verifying quality standards are met. Ensure team service levels meet division standards.
- Ensure work methods maximize efficiency and the use of resources.
- Assist with the development and implementation of unit strategies, goals, and performance standards to improve operations, effectively utilize resources, and maximize efficiency while meeting service level agreements and controlling costs.
- Proactively make strategic decisions to prevent and address operational issues. Resolve complex problems and issues to ensure services meet business partner expectations.
- Ability to quickly assess priorities and make decisions with limited information or direction.
- Act as a resource and liaison for document imaging questions from both internal and external business partners. Investigate and troubleshoot for appropriate resolution.
- Participate and/or lead team, divisional, cross-divisional, and enterprise projects where expertise on document imaging and systems this functional area uses is needed or to promote new efficiencies.
- Supervisor will be required to be trained in and have expert knowledge in document imaging. They will also be required to be cross-trained and have solid operational knowledge in the other functional areas in document services in order to provide coverage, collaboration, and assist business partners.
- Develop and submit budget recommendations for document expenses.
- Participate in assessing individual and group training needs, developing, and updating training programs and materials, and delivering training to ensure a high level of technical competency.
- Participate in CSD Leadership Team meetings and projects as required by VP of CSD.
- Build a team culture in which differences are embraced. Regularly expose team members to diverse perspectives and leverage differences to strengthen workgroup performance.
- Model adaptability and consistently seek to understand other world views, perspectives, and approaches to work.
- Continually sustain the Inclusive Leadership Competencies (ILC) through the Navigator level on an annual basis.
Additional functions:
- Provide coverage and back-up to other administrative operations supervisors.
Recommended qualifications:
- Three years or more of supervisory or significant leadership experience is preferred. Five or more years in operational document management experience which could include working with a variety of document types in OCR, imaging, data entry, or records is preferred.
- High school graduation or equivalent education. A bachelor’s degree in business or a related field is preferred.

Compensation & Benefits
Typical hiring range: $88,842 - $104,520. The pay range for this position is annually based on a full-time schedule. Actual compensation will be determined using factors such as experience, skills, training, certifications & education.

Full salary range: $78,390 - $130,650
