HOME MANAGER JOB SUMMARY: The House Manager (HM) ensures the health, safety, and well-being of the person(s) served residing in the home. Duties include instruction and/or assistance to individuals with disabilities with respect to improving independence in personal hygiene, self-care skills, money management, housekeeping, recreation, and promoting community involvement. The HM will directly supervise the assigned staff on duty at the residential sites during their assigned hours and will be the primary backup for the Direct Support Staff. They will be involved in the training and scheduling of the staff to ensure that properly trained staff members are present. The individual is available to assist the staff on duty to facilitate services to the person served in accordance with their respective cost plan and the ISP. The Home Manager will also support the staff on duty and persons served in all aspects of daily living activities and maintain a safe and healthful environment, including filling shifts as needed. They must attend all scheduled meetings and mandatory training as directed and will ensure the health, safety, and welfare of the persons served.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

RESIDENTIAL DUTIES:
- New employees must receive competency-based training in the areas of Individual Specific Needs and Fire Safety within the first two days of orientation. *Immediately upon completion, submit competency-based forms to the Training Coordinator. Keep the Program Manager and Residential Manager informed of training status.
- Provide training to direct support staff on documentation requirements.
- Directly supervise the residential support staff. If policy infractions occur, coordinate corrective action with the Residential Manager (RM), Program Coordinator (PC), Vice President (VP), and Human Resources (HR).
- Perform 90-day Performance Evaluations for new employees utilizing an Annual Performance Evaluation form. Review the evaluations' outcomes with the Program Coordinator (PC) and VP prior to reviewing them with direct support staff.
- Complete and turn in staffing schedules, with trained staff, two weeks in advance to the Residential Manager. Always ensure staff schedules are current and posted in the home.
- Ensure the persons served have adequate staff coverage by trained support staff. Co-facilitate in-home staff meetings with the Residential Manager.
- Review receipts for household, groceries, and personal funds. Ensure spending ledgers are available, current, and accurate. Upon discovery, report any discrepancies to the Residential Manager (RM) and Program Coordinator (PC) immediately.
- Ensure that persons served have access to their personal funds and oversee the daily accounting of funds.
- Complete the Daily Home Manager Checklist while you are on shift to ensure daily oversight of Medical Administration Records (MAR), Spending Ledgers, Daily Notes, Communication Log, grocery supply, medication supply, environmental safety, vehicle safety, etc.
- Review Staff Sign In/Sign Out Log to verify accuracy.
- Review Travel Books when on shift to ensure information reflected in the Health Passport, Individual Service Plan (ISP), Daily Note, Community Based/Facility Based (CB/FB) Log, etc. is accurate. Notify RM and/or PC immediately if you suspect a discrepancy.
- Review Medical Administration Record (MAR) Book daily to ensure MAR sheets are consistent to the prescription label as well as the physician order.
- Ensure compliance with the Medication Variance Reporting requirements.
- Ensure the individual is supported in the most respectful and professional manner.
- Ensure fire drills are conducted monthly, on varied shifts. Submit appropriate documentation to the Residential Manager no later than the 15th of each month.
- Ensure allegations of Abuse and Neglect are reported within a 4-hour time frame as required by the Department of Intellectual & Developmental Disabilities (DIDD).
- Accompany individuals on all scheduled or emergency medical appointments/consultations. If unable to do so, make necessary arrangements with the Residential Manager and LPN.
- Provide staff coverage for the individuals, as needed and required.
- Conduct and complete the Comprehensive Home Audit Tool weekly and report findings to the Quality Assurance (QA) Department and the other partners in the residential unit (VP, Program Coordinator, and Residential Manager).

SERVICE COORDINATION:
- Attend and participate in annual Individual Service Plan (ISP) and Circle of Support (COS) meetings.
- Review Occupational Therapy (OT), Physical Therapy (PT), and Speech-Language Pathology (SLP) Assessments, Individual Service Plans (ISPs), and Behavior Support Plans (BSPs) on an ongoing basis. Coordinate competency-based training for direct support staff by appropriate professionals to ensure safe and accurate implementation of plans.
- Ensure daily implementation of Individual Service Plan (ISP) outcomes and therapy plans (i.e., Dining Plan, Oral Hygiene, Bathing Plan, etc.)
- Ensure there is an updated copy of the Operations Manual in the home.
- Maintain travel records in accordance with the Department of Intellectual & Developmental Disabilities (DIDD) operations manual.
FINANCIAL/FISCAL:
- Assume primary responsibility for using Food Stamps/EBT cards. To the extent possible, include the individual in grocery shopping and household expenses.
- Oversee daily accounting of personal, household, and grocery funds.
SUPERVISORY AND MANAGEMENT DUTIES:
- House Managers will be on call 24 hours a day, 7 days a week. Since you are responsible for the house, your schedule must be flexible to utilize other staff and for the home's benefit.
- Complete the Daily Home Manager Checklist and submit it to the Residential Manager every week.
- Review and submit sign-in logs to the VP in a timely fashion in accordance with policy and procedures.
- Obtain authorization for overtime from the Residential Manager, if absent, and then the Program Coordinator before overtime is accrued.
- Manage employees' substandard performance in a tactful and meaningful way and document it in a counseling session, with the assistance of Human Resources (HR) and the Residential Manager.
- Keep Residential Managers and Program Coordinators informed of staffing issues, staffing vacancies, requests for transfer, etc.
- Keep the Agency Chief of Nursing or his/her designee, as well as the management team, abreast of medication refills, reorders, expired medications, Medical Administration Review (MAR) errors, missed medical appointments, etc.

SPECIAL REQUIREMENTS:
- A high school diploma or GED is preferred but not required.
- Valid Tennessee, Kentucky, or Alabama driver’s license
- Ability to read and follow directions.
- Ability to communicate effectively in writing.
- Satisfactory criminal background check and clear driving record
- Ability/availability to attend and pass all training courses offered and required Department of Intellectual & Developmental Disabilities (DIDD) and PDI training.
EDUCATION and/or EXPERIENCE: 1-2 years experience working with individuals with intellectual and/or developmental disabilities. Supervisory experience is preferred, as well as successful completion of DIDD Core and PDI Training and the development of knowledge of persons supported.
