Summary, Job Description, and Qualifications

Job Title: Administrative Assistant to the C Suite

Reports To: Chief Administrative Officer

Direct Reports: None

FLSA: Non-Exempt

Summary:

As a partner in building brighter futures for youth and their families, your role will be to assist with and facilitate administrative duties for the C-Suite Executives and Chief Executive Officer. You will be responsible for coordinating a range of activities for the Board of Trustees and all company employees in alignment with The Village Network’s Mission, Vision & Values.

Essential Tasks, Duties, and Responsibilities:

Supporting the C-Suite and the CEO, render support to the executive team as directed to guarantee that company goals and objectives are accomplished, and operations run efficiently.
Coordinate complicated scheduling, extensive calendar management, and administration of content and flow of information to C-Suite.
Board liaison responsibilities include updating Board membership lists, tracking Board membership renewals, and coordinating Board training, meeting times, agendas and materials. Track and maintain renewals of Corporation members’ terms. Maintain current Board Committee lists.
Work in conjunction with the Board Chair and attorneys to keep by-laws updated.
Support the Board of Trustees meetings, prepare agenda, upload documents, prepare meeting room, order food when necessary, and take meeting minutes.
Lead the planning and coordination of the Annual Board Meeting and Annual Corporation Meeting.
Monitor the Colleague Connection program, obtain updates from the ELT and ALT members on their connection activities each month and log them.
Coordinate and create materials related to the strategic plan for President/CEO.
Manage the process for contracts ensuring the coordination, communication and signatures of all contracts.
Answer phones and take accurate messages. Prepare and coordinate travel arrangements, sort, scan, and distribute mail, make photocopies, and assist with faxing. Order supplies, complete requisitions, transaction forms and expense reports.
Facilitate strong public relations through a positive personal approach and professional image.
Plan and organize work to ensure the senior executives’ priorities are met, organizational goals are achieved, workflows are expedited, and best practices are upheld.
Attend and take minutes for committee meetings and Administrative Leadership Team as needed.
Participate on committees for TVN events (Hall of Fame, Sweet Jubilation, Golf, Celebration Day, Employee Appreciation) if requested.
Assist the Donor Services and Events manager in the planning and execution of non-fundraising events, including but not limited to Groundbreaking, ribbon cutting, and open houses.
Provide excellent internal/external customer service.
Perform other duties as required.

Knowledge, Skills, and Abilities:

At least 4 years of executive administrative assistant experience required; Associate or Bachelor’s degree preferred.
Proficient in the use of computer technology and programs such as Word, Excel, Outlook.
Expertise in phone skills, keyboarding, and all other office equipment.
Ability to demonstrate good decision-making techniques and use good judgment in dealing with people and information.
Possesses: excellent oral and written communication skills; ability to prioritize multiple tasks and problem solve; excellent time management skills; and strong analytical skills.
Ability to maintain confidentiality of sensitive information.
Ability to make independent decisions within established guidelines on an independent basis.
Valid Ohio Driver’s License and maintains a driving record that allows that individual to be insurable with the insurance company providing The Village Network with vehicle insurance. Ability to travel to the different Village Network sites as necessary.

Physical Demands:

Occasionally move about inside the office to access filing cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a copy machine, computer, printer, etc.
Ability to effectively communicate (orally and written) with all levels of personnel, internal and external to the company.
Ability to safely bend, stoop, lift, push, reach, and walk for varying periods of time.
Must be able to lift 20 pounds independently.
