Longwood Gardens is seeking a full-time Philanthropy Coordinator to join our team. The coordinator will be responsible for providing exceptional customer service to Longwood Innovators, donors, and prospects. This key role involves generating detailed gift reports, preparing timely and tailored acknowledgment letters, and managing a robust program of benefits for Innovators and donors. The coordinator also creates and manages accurate invitation lists for a busy calendar of special events led by the Philanthropy and President’s Offices. Additional responsibilities include:
- Maintaining our donation database and generating reports
- Administering the gift acknowledgment process to ensure accurate, timely, and personalized letters and reports
- Fulfilling all new and renewed Innovator memberships and associated benefits
- Managing a robust calendar of Innovator benefits with precision and exceptional service
- Supporting donor event planning and execution including creating and managing invitation lists, accepting and tracking RSVPs, providing event coverage, and supporting other planning logistics
- Handling paperwork and accounts for matching gifts, memorials, and honorary gifts
- Performing adjustments and write-offs for gifts and pledges in Raiser’s Edge
- Assisting with donor correspondence, mailings, and data entry projects as needed
- Contributing to additional Philanthropy and event-related tasks as assigned
We are looking for an individual with high attention to detail and excellent written communication skills. The ideal candidate will possess:
- A Minimum of 3 years of experience in customer service, sales, special events, fundraising, or hospitality
- An Associate’s degree required; bachelor’s degree preferred
- Outstanding verbal and written communication skills
- Strong organizational skills and meticulous attention to detail
- 3+ years of experience with Raiser’s Edge, Salesforce, Dynamics, or an equivalent fundraising CRM; familiarity with membership and ticketing databases is a plus
- Proficient in Microsoft Office products; knowledge of mail merges and advanced spreadsheet functions is an advantage
- Ability to manage multiple tasks and prioritize projects effectively
- Basic understanding of nonprofit organizations and contribution types is preferred
- Exceptional customer service skills and ability to interact with diverse audiences
- Demonstrated ability to host polished and aesthetically pleasing events
- High level of integrity and adherence to the Association of Fundraising Professionals’ Code of Ethical Standards
- Strong work ethic and ability to collaborate in a team environment.
