Title: Manager, Philanthropic Engagement

Summary
The Manager, Philanthropic Engagement provides critical administrative and project management support to the Philanthropic Engagement team at The Philadelphia Orchestra and Ensemble Arts. This role ensures the smooth operation of donor cultivation, solicitation, and stewardship activities by proactively managing and implementing key administrative tasks to support and enhance the team's fundraising efforts. The Manager plays a vital role in our ability to foster meaningful relationships with high-level donors to advance the organization’s mission.
Essential Functions:
Administrative Support
- Manage the preparation and organization of materials for donor meetings, presentations, and events, ensuring they are accurate and thoughtfully crafted.
- Oversee the maintenance of donor records in the organization’s donor database (Tessitura), including updating contact information, tracking activity, and assisting with data entry.
- Become an advanced user of Tessitura; run reports for team activities, such as donor outreach, event management, and fundraising reports, with special attention to data integrity.
- Oversee the completion of gift transmittals, processing acknowledgment letters, and supporting donor recognition efforts to ensure timely and personalized communication.
- Oversee and track the printing and mailing of donor correspondence, including thank you letters, solicitation letters, and proposals.
- Manage expense entry and tracking for the Philanthropic Engagement team.
- Support the Philanthropic Engagement team’s annual strategic planning process.
Donor Engagement
- Coordinate and manage logistics for donor cultivation and stewardship activities, including invitations, RSVPs, and event planning in collaboration with the Stewardship team.
- Assist and participate in delivering personalized donor experiences through events such as backstage tours, high-level cultivation opportunities, and specialized stewardship activities.
Special Projects
- Manage special projects and additional responsibilities as assigned by the Managing Director of Philanthropic Engagement, ensuring timely and effective execution.
Education/Experience:
- Bachelor’s degree preferred
- 3+ years of administrative or fundraising experience, preferably in a nonprofit or cultural organization.
Knowledge/Skills/Abilities:
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Advanced skills with Microsoft Office Suite and proficiency with CRM software (experience with Tessitura is a plus).
- Ability to work independently and initiative to implement new projects and evaluate and recommend improvements to existing procedures.
- Ability to work collaboratively with a team and build relationships with donors, colleagues, and stakeholders.
- High level of personal and professional integrity in working with colleagues and donors, and the ability to work with confidential information.
- Appreciation for the arts and an understanding of the Philadelphia Orchestra and Ensemble Arts’ mission.
Working Conditions/Physical Demands:
This position requires evening and weekend hours to support donor events and performances, as needed.
