This position reports to the Director of Administration and will work with the executive team, El Puente staff, members, and the community. Job Overview:
The Administrative Manager of Human Resources (HR) is responsible for overseeing the daily administrative operations of the HR department and supporting the strategic initiatives within the HR function. This role combines administrative management with HR-specific responsibilities, including recruitment, employee relations, training coordination, and benefits administration. The Administrative Manager maintains accurate employee records and fosters a positive and compliant work environment.
Key Responsibilities:
- HR Administrative Management:
- Oversee day-to-day HR operations, ensuring smooth and efficient processes for employee recruitment, onboarding, and records management.
- Ensure HR policies, procedures, and documents are up-to-date and comply with federal, state, and local regulations.
- Staff Onboarding:
- Coordinate onboarding for new employees, ensuring all required paperwork is completed and new hires are successfully integrated into the organization.
- Employee Records & Documentation:
- Maintain accurate and confidential employee records, including personal information, job history, performance reviews, and disciplinary actions.
- Ensure compliance with all relevant employment laws regarding employee documentation and privacy.
- Prepare and update HR reports as needed, including turnover, absenteeism, and staffing metrics.
- Employee Benefits Administration:
- Assist with the administration of employee benefits programs, including health insurance, retirement plans, and Paid Family Leave (PFL).
- Respond to employee inquiries about benefits, eligibility, and claims.
- Coordinate annual open enrollment periods and assist employees with benefits selections.
- Training & Development:
- Coordinate and manage employee compliance training, and professional development courses.
- Maintain records of training completion and ensure that certifications and qualifications are up to date.
- Assist with leadership development initiatives and track employee progress.
- Employee Relations & Communication:
- Act as a point of contact for employee concerns and inquiries, guiding HR policies, procedures, and benefits.
- Assist with conflict resolution, disciplinary procedures, and performance improvement plans.
- Support management in creating and maintaining a positive and inclusive work environment.
- Compliance & Reporting:
- Ensure HR practices are compliant with relevant labor laws, regulations, and industry standards.
- Assist in preparing for audits and other compliance-related assessments.
- Performance Management:
- Assist in the administration of the performance appraisal process, including preparing materials, scheduling evaluations, and tracking submission of Employee Performance reviews.
- Support managers in creating and implementing performance improvement plans (PIPs) and development plans.
- HR Systems & Technology:
- Manage HR software systems (Paycom) to ensure accuracy and efficiency.
- Stay updated on HR technology trends and assist in the implementation of new tools or processes as needed.
- Ensure data integrity and confidentiality within HR systems.
