Energy Program & Client Service Specialist for Nonprofit

Department: EES - Energy & Environmental Service Dept
Location: Los Angeles, CA

Compensation: $20.00 to $26.00 per hour depending on experience plus excellent benefits

Status: Full-time, Hourly, Non-Exempt

I. PROGRAM SUMMARY:

PACE Energy and Environmental Services serves low income families and individuals across Los Angeles through outreach, energy & environmental conservation education, weatherization services, and utility bill assistance. We do this in collaboration with our community partners: the State of California Department of Community Services & Development, Southern California Gas Company, Los Angeles Department of Water & Power, and Southern California Edison. These programs provide utility bill assistance and installation of energy saving measures to help improve the energy efficiency, safety, and comfort of eligible homes. The new employee will be hired under a contract between PACE and the State of California Department of Community Services and Development (CSD) and other funding agencies to implement programs of Low-Income Home Energy Assistance Program (LIHEAP), Home Energy Assistance Program (HEAP), Department of Energy (DOE) Weatherization Assistance Program (WAP) and other programs as needed.

II. JOB SUMMARY AND ESSENTIAL FUNCTIONS:

The Energy and Environmental Services Department is seeking a motivated PROGRAM & CLIENT SERVICE SPECIALIST to join the team. This position may also be referred to as "Home Data Tracking Specialist" internally and interchangeably. This is a great opportunity to build a fulfilling career while making a positive impact in the community. The individual will work closely with the Field Operations Supervisor, other staff, and subcontractors to perform the following duties:

  • Collect daily assessments from field assessors and input assessment status in ServTraq.
  • Generate work orders and require documentation/photo to be sent out to appropriate subcontractors.
  • Effectively communicate with subcontractors, following up/tracking status of open work orders to ensure the program compliance.
  • Prepare all proper documentation from subcontractors ready for fieldwork.
  • Work closely with scheduled staff to maximize the daily workflow.
  • Be the main point of contact for client’s HVAC and other subcontract related works status inquiry in a timely and professional manner.
  • Track special order materials in ServTraq ready to schedule for weatherization
  • Submitting all necessary documentation to CSD for waiver process.
  • Monitor and inform Field Operation Supervisor the waiver results.
  • Responsible to submit required documents to and monitor results from State Historical Preservation Office (SHPO).
  • Responsible to submit and monitor waiver to CSD.
  • Stay on top of contract requirements, and agency requirements to maintain compliance by regularly reviewing CSD materials and updates such as CPNs and contract addendums.
  • Attend meetings and webinars conducted by CSD and other related entities.
  • Perform all other related duties as may be assigned from time to time.
  • Work schedule may involve after hours and/or weekend assignments, as needed by the program.

III . QUALIFICATIONS, EXPERIENCES AND SKILLS:

  • High School Diploma/GED certificate required, AA desirable.
  • Proficient knowledge of office systems and procedures, popular computer software programs (Word, Excel, Access, Outlook, etc.) and ability to use these programs in organizing work, prioritizing tasks and producing expected output/reports.
  • Verifiable experience or knowledge in data entry/database programs and/or formal office work that require processing, evaluation/review and generation/preparation of reports.
  • Knowledgeable or background in accounting principles and methodologies in preparation of program reports is a plus.
  • Great customer service skills
  • Patient, results oriented, work-focused, able to think out of the box.
  • Well-organized, results-oriented and quick to learn after careful instructions.
  • Capable of handling multiple projects/tasks and preparing/providing required output/reports in a timely manner.
  • Excellent oral and written communication
  • Bi-lingual in second language such as Spanish, Chinese, Korean, Armenian, Russian, etc is plus but not required
  • Ability to manage large workload in a fast-paced office environment and produce needed results.
  • Ability to work in a team setting but can independently pursue special assignments, as needed.
  • Can work after hours or on weekends, if needed.

IV. SPECIAL REQUIREMENTS:

  • Must pass professional reference and employment verification.
  • Must have reliable transportation
  • COVID vaccination required; must have two doses of Pfizer or Moderna or a single-dose of Johnson & Johnson. Those that need a medical or religious exemption must reach out separately
