Job Title: Donor Services and Event Coordinator
Regular Working Hours: 8:00 am to 4:30 pm, Monday through Friday, with occasional evening and weekends
Reports To: Director of Philanthropy and Brand Management
Summary:
As a partner in building brighter futures for youth and their families, the Donor Services and Event Coordinator will work with the Director of Philanthropy and Brand Management to lead, manage, and facilitate TVN’s event planning strategy. This position will emphasize event planning, donor services, fundraising, and developing key community relationships with community partners.
Essential Tasks, Duties, and Responsibilities:
- Responsible for all aspects of successful event planning that advances the recognition and brand of The Village Network. Follows event standards and best practices to maximize participation and revenue growth. Establishes an event plan that includes budgets, timelines, reports, recruitment, mission integration, and logistics.
- Manage all aspects of the event development process, including collaboration with subcontractors, venue identification, menu development, speech writing, and communication/marketing strategies.
- Creates detailed plans for each event that includes, but is not limited to, timelines, itineraries, ROI, budgets, reports including trend analysis, and attendance goals.
- Responsible for acquiring sponsors and in-kind donations in collaboration with VPs, Directors, Regional Directors, and volunteers.
- Recruits all event committees and serves as staff liaison for each. Coaches committee members to maximize participation and engagement.
- Maintains a web-based event calendar.
- Responsible for communicating events internally and recruiting staff involvement.
- Identifies and recruits potential community investors.
- Maintains Event/Volunteer Modules as applicable in the relevant database.
- Enter and thank monetary and in-kind donations in software.
- Processes reports for month-end processes.
Knowledge, Skills, and Abilities:
- Ability to use a computer; proficiency with Microsoft Office products; experience with GiveSmart a plus.
- Minimum of 4 years of successful event planning experience. Proven track record of identifying and maximizing event budgets.
- Expertise in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Able to work evenings and weekends periodically throughout the year. Travel with some overnights may be required. Valid Ohio Driver’s License with a driving record insurable with The Village Network’s vehicle insurer. Must have reliable transportation.
- Excellent project management skills, detail-oriented ability to delegate appropriate tasks to volunteers and staff, and track record of meeting deadlines.
- Excellent written and verbal communication, presentation, and interpersonal skills required.
- Strong customer service orientation with the ability to reach out to various individuals, including volunteers, business and community leaders, and staff.
Physical Demands:
- Occasionally move about inside the office to access filing cabinets, office, and event machinery, etc.
- Constantly operates a computer and other office productivity machinery, such as a copy machine, computer printer, etc.
- Ability to communicate (verbally and written) with all levels of personnel, internal and external to the company.
- Must be able to lift 25 pounds independently.
- Ability to identify and safeguard confidential information.
