Job Brief: The Executive Assistant is a member of the Fund’s operations team. The operations team is
responsible for handling a wide variety of duties related to event management, board and operations support,
and general office management. The Executive Assistant works closely with all Fund staff and reports directly to
the Vice President of Operations.

POSITION TITLE: Executive Assistant
SCHEDULE: 40 hours a week 9:00am- 5:00pm
DURATION: Temporary
Hourly Rate- $28/hr- $30/hr
Our Ideal Candidate:
Bachelor’s Degree or equivalent experience.
Five years administrative experience.
Proficiency in MS Office.
Excellent written and verbal communication skills.
Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet
deadlines.
Demonstrate ability to communicate directly with Board members and understand their preferences.
Ability to travel to work and off‐site for meetings, conferences and seminars.
Valid Driver’s License
Ability to perform the physical duties of this job, which require seeing, talking, and hearing, as well as
sitting, standing, walking, and use of hands.
Ability to use standard office equipment such as computers, phones and copy machines.
Capable of lifting items up to 10 pounds
How You Will Spend Your Day:
Board Support
Support for the GLPF Board of Directors and their Committees—Audit/Governance, Finance, Project, and
Retirement Plan Committees: scheduling, coordination, development, quality assurance, and upload of
meeting agendas and materials, and drafts of meeting minutes.
Administers GLPF meeting calendar.
Administrative liaison to board members.
Senior Management Support
Works directly with ED to support daily routine: scheduling speaking events, appointments, travel, expense
reporting, tracking sensitive events, and other administrative support.
Calendar and appointment management for VP of Programs and VP of Operations.
Administrative Support
Supports team by drafting/reviewing/editing documents and presentations, updating
document/presentation templates, data entry and analysis, and other activities as assigned.
Manage assigned vendors.
Schedules staff group meetings
Event Management
Planning and logistics management of all GLPF events including venue/vendor research, site visits,
contracts, catering and audio/visual coordination.
Serves as liaison to board members, grantees, Fund guests, and vendors during events.
Works closely with board chair to organize annual planning session in the chair’s home state.
Keeps track of event finances to ensure budget compliance, and completes meeting budget reconciliation
for each event.
Arranges staff, board, and guest travel.
