Stanford Graduate School of Business seeks an experienced and highly skilled Conference and Event Manager for a continuing position. The Conference and Event Manager will work closely with Stanford GSB departments and event owners to plan and execute conferences and events, such as high-profile speaker visits, academic conferences, seminars, executive programs, student-facing educational opportunities, and other university-related events. This position serves as a project and team leader managing a portfolio of events, including large/multi-day events, and will be part of a highly collaborative team supporting Stanford GSB’s in-person, hybrid, and virtual events.
The Conferences and Events Manager will need to exercise good judgment regarding task prioritization amidst shifting priorities. It is essential to have excellent judgment, integrity, flexibility, creativity, a positive attitude, collaboration skills, and a good sense of humor. The GSB campus includes the Knight Management Center and GSB Residences on 19.5 acres supporting academic, administrative, residential, and food service functions. The Schwab Residential Center is a 24-hour, 7-day/week residence and conference center.
Your primary responsibilities include:
- Serve as project leader for specific events, overseeing all aspects and coordinating teams for logistics such as AV, equipment, registration, catering, vendor management, and providing on-site support.
- Lead meetings with stakeholders to define scope, format, budgets, and review procedures and progress.
- Manage budgets, venue, and equipment/facilities for events.
- Manage venue scheduling, reservations, and conflicts.
- Utilize and maintain venue reservation systems and event planning software.
- Inspect facilities, create floor plans, and coordinate setup and takedown.
- Oversee registration logistics.
- Build and maintain relationships with partners.
- Procure and coordinate vendor services.
- Research and recommend event locations and evaluate alternatives.
- Report complaints regarding customer service, crowd control, and staff issues.
- Inspect facilities for safety and maintenance, ensuring compliance with regulations.
- Support virtual and hybrid events.
- Communicate with speakers, alumni, and participants.
- Other duties as assigned.
To be successful, you will bring:
- Bachelor’s degree and three years of relevant experience or equivalent.
- Success managing event teams, budgets, and meeting financial goals.
- Excellent project management skills for complex timelines and multiple projects.
- Proficiency with Zoom and webinars or willingness to learn.
- Ability to work independently and in teams.
- Strong interpersonal, communication, time management, and customer service skills. Well organized and detail-oriented.
- Exceptional hospitality skills and partnership cultivation.
- Confidence in strategic decision-making, good judgment, and creative problem-solving.
- Knowledge of Microsoft Office, Google Workspace, Eventbrite, and willingness to learn other systems.
- Ability to collaborate broadly and work occasional evenings and weekends.
- This is a fully onsite position with potential for remote work one day per week.
Preferred requirements include:
Expected pay range: $78,408 to $97,000 per year.
Stanford provides pay ranges as a good faith estimate. The final offer depends on factors like responsibilities, qualifications, departmental budget, internal equity, location, and market rates.
