The Pre-Arrival Client Registration and Referral Portal (CRRP) Information & Referral Specialist helps overseas immigrants navigate IRCC-funded pre-arrival programs by assisting with registration, confirming eligibility, and making timely referrals. This role supports clients experiencing difficulties with online tools, ensures accurate data entry in Salesforce and iCARE, and contributes to statistical reporting. The Specialist also collaborates with senior staff, troubleshoots technical issues, and engages in outreach to strengthen partnerships and improve service delivery.
Responsibilities:
- Review registration requests and determine eligibility for accessing IRCC-funded pre-arrival services.
- Conduct online Needs Assessment and Referral before arrival, provide eligible clients with information and orientation, and refer them to all available Pre-Arrival services.
- Assist clients experiencing difficulties with the portal’s online registration tools by providing guidance.
- Support in developing, facilitating, and maintaining online content, including the online Knowledge Management System.
- Enter and retrieve data in the centralized client file management system within Salesforce and the government service information tracking database, iCARE, ensuring data completeness and accuracy.
- Support the maintenance and submission of program statistical and progress reports.
- Collaborate with the CRRP Team Leader and Pre-Arrival Services Program Integrity Coordinator to troubleshoot technical issues, minimize site interruptions, and optimize site responsiveness.
- Conduct local and global outreach and maintain professional, collaborative relationships with partner organizations.
- Work closely with and support the Senior Team to achieve quality, fiscal, and program targets.
- Ensure confidentiality of sensitive information and compliance with YMCA and funder privacy policies.
- Stay informed about immigration and newcomer trends and use this knowledge to enhance content development and program improvements.
- Perform other duties as assigned.

Qualifications:
- Post-secondary education in a related field or equivalent training/work
- Minimum 1-year experience working with newcomers, providing settlement information and referrals.
- Strong proficiency in personal computer applications, including Microsoft Office, Microsoft Outlook, and internet search tools.
- Demonstrated knowledge of settlement and immigration barriers, trends, resources, and services.
- Some understanding of best practices for online usability, accessibility, and safety.
- Ability to handle multiple projects simultaneously while working effectively as part of a team in a collaborative environment, with attention to detail and adaptability to changing priorities in a fast-paced setting.
- Excellent written communication skills.
- Well-developed interpersonal and relationship-building skills, with the ability to establish rapport and communicate effectively with participants, community partners, staff, and volunteers.
- Self-motivation and enthusiasm for leveraging technology to connect with and engage people.
- Ability to communicate in a second language as an asset.
- Flexibility regarding work locations and hours, including evenings and weekends.
