The Manager, Support Services is responsible for the direct supervision and training of the Support Services Housekeeping staff. This role ensures that all agency policies and procedures are followed while maintaining high standards of cleanliness, safety, and efficiency across multiple agency locations. Key responsibilities include managing staff schedules, overseeing donation pickups, moves management, meeting and event setups, building and warehouse maintenance, and ensuring adequate coverage for support services across all sites. Additionally, this position contributes to the daily office routine by assisting with Support Services Assistants’ duties on a rotational basis and during staff absences. The Manager, Support Services is also responsible for generating summary reports on service levels and providing monthly reconciliation reports.

What you Deliver

Directly supervise and provide ongoing training to the Support Services and Housekeeping teams, including housekeepers, support service assistant, lead support specialist and others, ensuring compliance with agency policies, safety standards, and operational procedures.
Conduct regular performance evaluations, providing constructive feedback, setting performance goals, and implementing development plans. Foster a positive work environment that encourages teamwork, open communication, and high morale. Address employee concerns and performance issues promptly and professionally, including implementing disciplinary actions if necessary.
Plan, organize, and coordinate daily operations of the Support Services team, ensuring efficient and effective service delivery across all agency locations. Participate in daily office routines by assisting with Support Services Assistants duties on a rotational basis or during vacations and illnesses, ensuring continuity of operations.
Develop, maintain, and adjust staff schedules for various tasks, including donation pickups, moves management, meeting/event setups, and building/warehouse maintenance, ensuring adequate coverage at all times.
Supervise the housekeeping team to maintain a clean, safe, and welcoming environment in all agency facilities, including offices, public areas, and restrooms. Ensure that all agency locations are adequately supplied with necessary cleaning materials and support service equipment by managing inventory levels and placing orders as needed.
Coordinate logistics for internal and external events, including setup and breakdown of meeting rooms, event spaces, and other facility requirements.
Oversee donation pickups and moves management, ensuring items are securely transported and stored appropriately in the agency’s warehouse. Manage inventory and storage of donated items, maintaining accurate records and coordinating distribution to relevant departments.
Prepare and present detailed summary reports on the level of service provided by the Support Services team, identifying trends, challenges, and areas for improvement. Generate monthly reconciliation reports to track resource utilization, expenditures, and budget compliance.
Maintain accurate records of staff schedules, inventory levels, and maintenance activities.
Conduct regular safety inspections to ensure all facilities meet health and safety regulations, including OSHA standards. Implement and enforce safety protocols, including the use of personal protective equipment (PPE) and proper chemical handling procedures.
Organize and conduct safety training sessions for all Support Services staff, including emergency response and evacuation procedures.
Participate in staff retreats, United Way tours, agency fairs, speaking engagements, and special organizational events. Provide operational support for key organizational initiatives and cross-departmental projects.
Perform additional duties as assigned by supervisor.

Qualifications

The Expertise We're Looking For

High School Diploma or G.E.D.
Three (3) years of experience in support services, logistics, or facility operation
Two (2) year previous supervisory experience in a related field
Valid Texas Driver’s License

Proven experience in a supervisory or managerial role, preferably in support services, facilities management, or logistics.
Strong leadership, organizational, and problem-solving skills.
Excellent communication and interpersonal abilities.
Proficiency in scheduling software and inventory management systems is a plus.
Ability to work in a fast-paced environment and manage multiple priorities effectively.
