We are seeking an organized and detail-oriented Administrative Assistant to provide administrative support to our team. The Administrative Assistant is responsible for a variety of administrative tasks, including, but not limited to the below.
ESSENTIAL FUNCTIONS:
- Performs moderate level administrative functions (word processing, excel, and/or other MS Office applications)
- May assist with bi-weekly and hourly payroll information
- Prepares bank deposits and statements of revenue as needed
- Enter Patient demographic and insurance information to EHR
- Process patient payments and follow up on account balances
- Complete payroll and timesheets
- Prepares and submits billings as needed
- Assists with statistical reporting and facilities management as needed
- Responsible for disbursement, maintenance and reconciliation of petty cash as required
- Establishes, maintains and updates the filing system
- Compiles reports; updates, checks and completes records, forms and documents
- Processes and distributes confidential and sensitive documents
- Answers phones, greets consumers/visitors.
- Performs other general clerical duties (typing, filing, distributing mail, etc.)
- Operates and maintains a variety of office equipment
Requirements
KNOWLEDGE/SKILLS/ABILITIES:
- Excellent verbal and written communication skills.
- Medical administrative support experience, preferably in a mental health setting
- Strong patient service skills with the ability to effectively communicate and interact with individuals experiencing mental health challenges
- Proficiency in using electronic medical record systems, such as Therapy Notes, to input patient information and maintain accurate records
- Knowledge of front desk operations, including scheduling appointments, verifying insurance coverage, and managing phone systems
- Familiarity with medical office or dental office procedures and protocols
