Summary/Objective: The Guest Servicesand Office Assistant provides hospitality and responses to the needs for retreat guest while on Campus in coordination with the Retreat Center Director and Nazareth Campus Service. Maintains materials for the retreat center offices.
Essential Functions:
- Assign lodging and meeting rooms for retreatants. Assist in the registration/contracting process as assigned by the director.
- Send communication as needed to Campus Services Administrative Assistant, Security, Housekeeping, Reception Desk, Grounds, Maintenance, and Food Service.
- Work with Sister Services as needed to accommodate guest of Sisters.
- Post guest room assignments in appropriate areas and create badges for guest.
- Add guest information in Retreat Guru as needed.
- Create and edit website updates, flyers for marketing, and social media posts.
- Maintain and procure office supplies, files, and keep equipment in good order.
- Follow the policy and procedures of the Nazareth Retreat Center.
- Schedule all requests for lodging, reserve requested dates and submit all request to proper departments. Keep database updated with accurate information.
- Send contracts and follow up on requested information and payments as assigned by the director.
- Share responsibilities with the Director on nights and weekends whenever retreatants are on campus.
- Meet retreatants (groups and individuals) as assigned, welcome guest to campus and provide a short orientation to areas they need. (Especially St. Vincent Church and the Motherhouse Dining Room.)
- Ensure rooms are cleaned and in good order before retreatants arrive.
- Ensure that meeting rooms are set-up accurately.
- Inspect guest areas for clean ups or maintenance issues after departures.
- Issue door codes for each guest and maintain room keys.
- Other duties as assigned.

Supervisory Responsibility: This position has no supervisory responsibilities.
Education/Experience: Associates or Bachelor's Degree preferred. Experience in pastoral ministry, hospitality, communications or other relevant fields. Proficient in Microsoft Office Applications and Zoom. Minimum of two years' experience in a professional office setting preferred. Knowledge of social media platforms, editing websites, Constant Contact, and WordPress.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to talk and hear. This position is very active and requires ease of movement. This position requires long periods standing, walking, bending and kneeling. The employee may lift and/or move items up to 25 pounds.
Work Environment: This job operates in a clerical office setting. This role routinely uses standard office equipment, such as computers, phones, photocopiers, and audiovisual equipment.
Position Type/Expected Hours of Work: This is a Full-Time position. Hours of work are Monday through Friday; hours will vary depending on retreat needs and will require some nights and weekends. 40 hours per week.
Travel: Travel is primarily local during the business day.
