We are seeking a strategic and detail-oriented Grants Administration Manager to join our grants administration team within the Finance Department. Reporting to the Senior Director of Grants Administration, this role will be instrumental in establishing and maintaining our grants management infrastructure during a period of significant portfolio growth, including the implementation of a Grants Management system. This position will help manage a diverse portfolio, including both federal and non-federal funding streams.
Key Responsibilities
Pre-Award and Proposal Support:
- Review and analyze proposal budgets for compliance with funder requirements and organizational policies.
- Provide budget development guidance to program teams during proposal preparation.
- Support cost analysis and budget justification development.
- Assist in evaluating institutional commitments and resource requirements for new proposals.
- Review indirect cost applications and cost-sharing commitments.
Grant Administration and Financial Management:
- Manage day-to-day post-award administration and financial compliance of grants from setup to closeout.
- Monitor grant expenditures to ensure allocability and allowability in accordance with donor and organizational policies.
- Review and approve expenditures and process cost transfers as needed.
- Prepare and analyze financial reports for internal stakeholders and external funders.
- Support budget development and expenditure forecasting processes.
- Facilitate timely financial closeout of grants.
Process Development and Systems:
- Assist with the standardization of grants management processes and procedures across the organization.
- Support the implementation and optimization of our new Grants Management System.
- Help develop and maintain comprehensive grant monitoring procedures.
- Support the development of institutional policies and procedures for grants management.
Stakeholder Partnership and Compliance:
- Collaborate with program teams to provide day-to-day operational support and financial guidance.
- Partner with key stakeholders including accounting teams to ensure effective grant administration.
- Provide guidance to program staff on expense allocability and allowability.
- Support grant modifications including no-cost extensions, budget reallocations, and scope changes.
- Assist in building federal grant infrastructure and compliance frameworks.
- Support annual audit processes and help establish risk mitigation strategies.
- Coordinate with relevant offices on subgrant setup and monitoring when applicable.
Job Requirements
- Bachelor’s degree in business administration, Finance, Accounting, or related field.
- 5 years of experience in grants management in the non-profit space.
- Demonstrated experience with federal grants management and compliance requirements (e.g., OMB Uniform Guidance.)
- Strong process development and standardization skills.
- Advanced proficiency in Excel and experience with financial management software.
- Excellent project management skills with ability to manage multiple priorities.
- Strong analytical skills with the ability to interpret complex financial data.
- Outstanding communication and stakeholder management abilities.
- Experience with non-profit accounting preferred.
- Change management experience a plus.
