This position is considered the subject matter expert related to the large-scale flow of patient, provider
and wealth data into and through our suite of fundraising software solutions.
The position is solely responsible for managing the flow of vital information between various data systems
in order to inform fundraising processes. By ensuring data timeliness, accuracy, consistency and
accessibility, the Philanthropy Data Integrations Specialist is a key contributor in positioning our
fundraising officers for success in raising significant support for healthcare system initiatives.
KEY RESPONSIBILITIES:
1. Procure HIPPA-compliant patient lists from multiple sources, including the EMR (electronic medical
records) system, various clinical departments, medical staff leadership, and other affiliates (internal
and external to Piedmont).
2. Procure provider lists from various internal departments and wealth data from existing wealth
screening services.
3. Create new import formulas as needed to support new integration projects, and accurately
prepare/cleanse/de-duplicate all data files prior to import.
4. Routinely execute the import of HIPPA-compliant patient lists, provider lists and wealth data into the
CRM software.
5. Conduct regular validation checks on imported data in order to maintain high standards of data quality
and to provide healthy, actionable data to the fundraising officers. Proactively identify data integration
problems and implement solutions in a timely manner.
6. Make necessary adjustments to integration configurations and import maps/formulas in order to
improve data quality. Submit support tickets with the CRM vendor and Piedmont IS in order to
troubleshoot issues.
7. Assist in the development of processes that will ensure overall data integrity and workflow efficiency
in an integrated CRM ecosystem. Regularly assess current processes and make improvements as
are identified.
8. Draft and maintain documentation of import processes and workflows to ensure consistency and
knowledge transfer.
9. Follow CRM vendor communications and proactively attend webinars to stay informed about product
updates. Recommend changes and enhancements to Piedmont’s technology stack.
10. Serve as a resource to the fundraising team, answering questions related to constituent management
and providing guidance and training in appropriate use of the CRM software.
11. Develop an understanding of Piedmont’s fundraising programs and take a pro‐active role in
supporting them.
12. Design and execute fundraising reports as needed inside the CRM software.
MINIMUM EDUCATION REQUIRED:
Bachelor’s degree from an accredited college or university, preferably with an emphasis in Information
Systems, Business Administrations or related field..
MINIMUM EXPERIENCE REQUIRED:
One (1) year of progressive experience in CRM system management and data workflows, preferably in a
nonprofit fundraising setting.
MINIMUM LICENSURE/CERTIFICATION REQUIRED BY LAW:
None.
ADDITIONAL QUALIFICATIONS:
Proven ability to oversee projects related to data extraction, data manipulation, data cleansing, data
mapping, and data importing. Knowledge of ETL tools is preferred but not required.
Superior skills with CRM systems (i.e. Raiser’s Edge NXT, Salesforce). Raiser’s Edge NXT, Luminate
Online and Research Point experience is preferred.
Experience with EMR systems (i.e. Epic, Cerner) and familiarity with medical terminology is preferred.
Experience with data visualization tools (i.e. Tableau) is preferred.
Superior skills in Microsoft Excel and other Microsoft Office applications.
Analytical, highly detailed, organized and solution-focused.
Excellent project management skills with the ability to maintain a high standard of service, and to prioritize
and manage multiple tasks/requests with competing deadlines.
Ability to work as a member of a team and foster a collaborative working environment.
Ability to discuss technical topics with non-technical audiences and translate the needs of the fundraising
team into effective data solutions.
An understanding of the types of data needed to support the fundraising efforts of a nonprofit organization
is highly preferred.
Ability to handle confidential/sensitive information, meet Piedmont compliance and data security
requirements, and adhere to HIPPA regulations.
