Job Purpose

The Intake Team Lead takes responsibility for managing the seasonal intake process and oversees the day-to-day work of the seasonal Intake Specialists who conduct Intake Appointments for Y.O.U.’s Summer Youth Employment Program (SYEP). The Intake Team Lead works with SYEP Leadership to ensure that the maximum amount of selected youth successfully complete the eligibility determination process and move to the job matching and orientation phase. The person in this role must be detail oriented to identify mistakes with Intake Specialist work and intervene in a timely manner, ensuring errors are corrected, documentation is well maintained, and learnings are shared with other team members to help increase the quality of service provided to summer program stakeholders.

Essential Functions

Assist program management with program operational duties to ensure smooth implementation and execution of program goals.
Oversee the set-up and tear-down of daily Intake Appointments throughout the community, including picking up and dropping off supplies and paperwork to Y.O.U. Offices and appointment locations.
Assist in training and monitoring a seasonal team of (15-25) Intake Specialists, working closely with Program Managers, other Team Leads, Resource & Support Supervisors, and Compliance, providing guidance and mentorship as needed.
Assist the Intake Team with all aspects of the program eligibility determination process.
Monitor daily Intake Appointments to ensure all stations within the appointment are functioning efficiently and accurately.
Maintain the work schedules of Intake Specialists and monitor Y.O.U.’s appointment calendar to ensure that all selected applicants can complete an Intake Determination appointment.
Serve as the next level of contact during Intake Appointments to address issues and questions from parents/guardians.
Enter accurate and complete information into database management system; ensure all Eligibility Specialists are entering accurate, complete, and timely data.
Conduct regular inventory and inspection of equipment and materials needed for Intake Appointments.
Other duties as assigned and required.

Requirements

Education

Associate Degree from an accredited College or University or working towards a degree preferred.
High School Diploma or equivalent required.

Requirements

Must be able to accommodate a flexible work schedule, including evening and weekend shifts.
Must have experience in coordinating/managing multiple projects.
Must have experience working in a leadership, mentor, or coach role.
Must have experience in customer service and strong data entry skills.
Must have experience with databases, spreadsheets, and word processing.
Some experience working with diverse populations and/or at-risk youth and young adults.
Must have reliable transportation for weekly travel to various appointment locations and worksites.
Must pass a BCI/FBI criminal background check as a condition of employment.

Work Environment

This position is based in an office setting and will require regular travel to eligibility site locations and other Y.O.U. offices. environment. The work pace for this position is usually fast paced where work is required for up to 2 hours at a time. The position requires some supervision from the manager with intermittent prompts. Social interaction with clients and team members is required frequently. The environment in which the job is performed outside a normal office space may include exposure to extreme temperature, noise, heights, or other hazards. All remain the same for any additional requirements for training.
