McMillan is excited to offer a full-time opportunity for an Evening Document Specialist. As a key part of the team, you will provide firm-wide support using your advanced skills in Microsoft Office (Word, Excel, PowerPoint, and Adobe) and other specialized document support. This position is perfect for someone who enjoys a variety of document work and has an interest in the technical aspects of document production.
The ideal candidate is self-motivated, demonstrates strong independent and collaborative skills, and is quick to learn new processes and technical tasks while promoting a client-first culture. Contributing as a team player is essential to ensuring efficient document production support across the firm.
Shift:
Monday to Friday: 6:00 pm - 1:00 am EST / 4:00 pm - 11:00 pm MST / 3:00 pm - 10:00 pm PST
This position is fully remote, with the flexibility to attend onsite as needed as part of an “on-call” schedule.
What You’ll Do
As a member of the fast-paced DASH team, you’ll utilize your Microsoft Office expertise and attention to detail in a variety of tasks.
This role involves advanced document processing support, including formatting, styling, and troubleshooting issues, as well as converting PDFs to Word and vice versa. Responsibilities include revising and comparing documents, performing mail merges, cross-referencing, indexing, creating tables, and generating blacklines. The position also involves preparing and formatting PowerPoint presentations and participating in technology initiatives by researching, evaluating, testing, and documenting new tools and processes. Key duties include providing troubleshooting support, managing incoming work requests, creating database tickets, and performing tasks such as digital dictation transcription, data entry, and spreadsheet manipulation. Additional tasks include working with PDFs by creating fillable forms, redacting information, bookmarking, hyperlinking, and organizing files. The role also requires proofreading documents for formatting, spelling, grammar, and accuracy, as well as communicating with internal clients to provide support and manage work requests effectively. Other related tasks may be assigned as needed.
What You Bring
You have at least 3 years of relevant experience, ideally in a medium to large law firm environment, where you’ve developed expertise as a Document Specialist. You have advanced skills in Microsoft Word, with proficiency in PowerPoint and Excel, and strong analytical, editing, and proofreading skills.
Your client service and communication skills allow you to correspond professionally and effectively with internal clients. You’re proactive, detail-oriented, and able to work independently or within a team, always meeting deadlines. You are flexible and willing to work overtime or provide statutory coverage when needed. Familiarity with legal terminology, documents, and procedures is an asset.
