Basic Functions:
Develop and establish a systems approach for the administration of all CYO programs and sports for participants from grade school through adulthood. Integrate a faith perspective to provide an intentionally Christian environment in all CYO athletic programs.
Build a culture in CYO that animates Catholic values in the administration of all programs with a faithful application of the letter and spirit of the CYO Athletic Charter and Bylaws.
Responsibilities:
- Ensure CYO programs animate the mission and values of Catholic Charities, CYO and Cleveland diocese.
- Develop and implement effective administrative procedures for all CYO programs.
- Work to assure that Catholic Charities system administrative requirements and priorities are done in CYO in accordance to the policies and procedures of Catholic Charities.
- Examine, analyze, and evaluate CYO programs and operations to identify goals and objectives for continuous growth and improvement.
- Perform other duties as necessary or assigned to accomplish CYO and Catholic Charities priorities.
- Build a Catholic culture for athletes, coaches, officials, & families according to the CYO Charter & Bylaws.
- Select and implement a sports management technology system for CYO program administration, team registration and scheduling. Work with the Catholic Charities I.T. department to evaluate software program needs to improve efficiency for: data collecting, reporting, and analysis; virtual training modules; and hardware integration and usage.
- With direction, responsible for managing and resolving incidents through our incident management system.
- Evaluate, recommend, and implement in-person and virtual trainings with content, technical, and delivery mastery for the following virtual trainings: Coaches Development Program; Seasonal Coaches Meetings; Membership Conferences; New Athletic Director Orientation; Site Personnel; and other assigned trainings.
- Evaluate CYO trainings by their impact on stated CYO program goals and objectives.
- Design, direct and implement a Volunteer Management System for CYO administrative tasks and CYO program site operations;
- Coordinate and implement a contest and Facility Scheduling System for all sports and programs with seasonal assistance as needed;
- Design surveys and evaluation tools to gather program feedback from constituents on ongoing and a seasonal basis;
- Develop and implement CYO quality management system to meet quality control requirements for the Catholic Charities Quality Management.
- Gather data and compute statistics across all sports and programs to prepare analytical reports and demographic information as assigned.
- Develop and implement a year round sports rule changes framework that includes a timely communication of rule changes to key client groups;
- Develop implementation plans and checklists for all CYO programs and championships;
- Integrate the use of analytics, demographics, and statistical reports into program planning;
Requirements:
Combination of experience and education normally represented by a Bachelor’s Degree in related field with three to five years post degree experience in athletics, coaching, and/or recreational activities.
- Must have four to five years’ experience in administrating athletics related programs.
- Must have working knowledge of administrative and information management systems to achieve program goals.
- Must have strong people and team member skills with the ability to work with a wide variety of diverse persons, professional and volunteer, with varied degrees of knowledge and skills.
- Must have relationship and facilitation skills to form effective partnerships within Catholic Charities and with other organizations and systems, both public and private.
- Must have the ability to effectively manage a variety of concurrent and competing demands while meeting program and administrative deadlines.
- Must have strong organizational skills, high attention to details, and the ability to work independently to achieve professional and program goals.
- Must have the skills and the ability to implement administrative systems and resolve conflicts.
- Must have excellent oral, written and interpersonal communications skills.
- Must be willing to work a flexible schedule that includes evenings and weekends with availability for emergencies and crisis intervention.
- Must have a working knowledge of the Catholic Church and ability to work with parishes and schools.
- Must have strong technical skills and familiarity with Microsoft Office and program specific software.
