We are currently searching for an Administrative Assistant for a Healthcare Association. The position is full-time, temporary, and hybrid onsite in Bethesda, MD.

POSITION TITLE: Administrative Assistant
SCHEDULE: M-F, 9a-5:30p
DURATION: Temporary (March 3-June 30th, 2025 with possibility of extension)
HOURLY PAY: $25.00-$27.00/hour/hour
Is This Your Dream Job: Responsible and accountable for administrative support for and contributing to the design, implementation, evaluation, and day-to-day management of the Public Health Integration and Quality Improvement and Integration portfolios focused on optimizing care, enhancing public health and primary care integration and clinical quality.
Our Ideal Candidate:
- Bachelor’s degree or equivalent experience
- 2+ years of related office, project management and/or quality improvement experience
- Strong organizational skills with attention to detail.
- Resourceful and able to problem-solve and take initiative in a changing workplace environment.
- Must communicate effectively, anticipating needs and keeping staff informed of problems or issues affecting workflows, processes, and procedures.
- Proficient project manager, including Asana or similar software experience
- Proficiency in Microsoft Office Suite applications (Word, Excel, Outlook) and Sharepoint
How You Will Spend Your Day:
Administrative Support:
- Contribute to project design and implementation, including expert panels, launch/mid-project/harvest meetings, learning communities, and training events
- Project support, including correspondence, deliverable tracking, meeting and event coordination, and virtual event hosting.
- Using quality improvement techniques, e.g., run charts
- Qualitative and quantitative data evaluation, analysis, and visualization support
- Content development (tools, resources, surveys, communications/media, publications, presentations, microlearning, webinars, etc.)
- Dissemination of results, successful care models, best practices, emerging evidence-based strategies, implementation approaches, lessons learned, and developed content
- Maintaining shared workspaces/collaboration platforms (e.g., Teams, SharePoint, Confluence, Asana, Dropbox, Cobblestone)
Contribute to building a talented, committed, high-performing team to support and manage portfolios.
- Provide administrative and operational support for team and affiliated contractors
- Contribute to building a national network of subject matter experts and expert faculty.
Contribute to organizational improvement and integration efforts through:
- Conferences, Committees, and Task Forces
- Performance Improvement teams
- Providing excellent customer service internally and externally to health centers, Primary Care Associations (PCAs), and Health Center Controlled Networks (HCCNs)
- Representing Organization with other organizations and agencies
Contribute to the business operations and financial stewardship for the Organization and Community Health through efficient and effective management consistent with OMB and audit principles.
- Vendor management for assigned projects
- Consultant management for assigned projects
- Customer Service
- Provide content for proposal development and approval
- Contribute to RFP development, implementation, and workflow
- Grants management: support contracting, invoicing, and expenses for assigned projects
- Reporting requirements as designated by funders for assigned projects
Cultivate and contribute to the success of complex partnerships with external national and federal partners, PCAs and HCCNs, and commercial entities, as appropriate for system and strategic alignment.
- Invest in current partnerships through responsive, professional, and technically knowledgeable communication.
- Assist in identifying potential new partnerships that support strategic alignment.
