We have an exciting opportunity for a Philanthropy & Engagement Support to join our team!
The Philanthropy & Engagement Support is a vital part of the team providing support to the Philanthropy & Engagement activities of Camino, ensuring excellent donor, volunteer and community members experience. The Philanthropy & Engagement Assistant administers the department databases ensuring the accuracy and integrity of the system. This position is responsible for processing donations, issuing timely acknowledgments, preparing correspondence, reports and ensures CRA compliance.

WHAT YOU’LL BE DOING:
Database and Reporting:
- Maintain the accuracy, security, and integrity of the department's donor, volunteer, and communication systems.
- Ensure accurate and timely processing of donations, donor acknowledgments, and tax receipts.
- Conduct database queries and generate accurate reports, lists, and mailing/emailing lists as needed.
- Generate and analyze data to track donor engagement and support fundraising strategies.
- Reconcile donations with the Finance Team and maintain accurate revenue reports.
- Generate and maintain updated donation forms.
Recognition and Stewardship:
- Coordinate and execute meaningful engagement recognition initiatives, including personal acknowledgments, certificates, and other forms of recognition.
- Responds promptly and professionally to phone, in person, written and email enquiries from community supporters.
- Assist in planning, coordinating, and executing events and programs, including stewardship and cultivation activities.
Event Support:
- Coordinate event logistics, manage RSVPs, prepare materials, and provide on-site support during events.
- Provide comprehensive support for community and third-party events, ensuring organizers have the necessary materials, guidance, and resources while ensuring Camino is represented effectively.
Campaigns and Communication:
- Support the development and implementation of Philanthropy & Engagement campaigns across various channels.
- Manage department inboxes and mailing production, addressing requests and concerns in a timely manner.
Collaboration and Compliance:
- Work closely with colleagues, including Philanthropy team members, program staff, and volunteers, to support shared initiatives and organizational goals.
- Ensure compliance with ethical fundraising, volunteer practices, and data protection regulations, maintaining confidentiality of information.
Administrative Support:
- Provides support to the Philanthropy & Engagement workplans and calendar of activities.
- Maintains organized electronic files
- Provides office administration/coordination.
Other:
- Perform other duties necessary to support the success of Camino’s efforts and serve as an agency representative to the community.
- To always perform work safely and in compliance with the Occupational Health and Safety Act (OHSA)
WHAT WE’RE LOOKING FOR:
- Post-secondary education in a related field (administration, fundraising, sales, marketing and/or communications), or an equivalent combination of work experience and education.
- Computer and systems proficiency in data entry, CRM software and databases.
- Meticulous attention to detail and accuracy. Exceptional organizational and multitasking skills.
- Strong interpersonal skills with the ability to work closely within a team but also independently when .
- Ability to take initiative and work proactively is essential.
- Analytical mindset with the ability to interpret data and generate meaningful insights.
- Commitment to maintaining the highest standards of professionalism, integrity, and donor confidentiality.
- Tech savvy with knowledge of data base operations and functionality.
ARE THERE BONUS POINTS?
Yes! We’ll give your application extra credit if you have one or more of these:
- Knowledge of CRA (Canada Revenue Agency) regulations including requirement for accepting donations and issuing charitable tax receipts.
ANYTHING ELSE I SHOULD KNOW?
- This is a permanent position working 37.5 hours per week
- Work takes place in an office environment and within the community
- Travel will be within the Region of Waterloo with no overnight stays
- Evenings and weekends are sometimes
- Must have a valid driver’s license, access to a reliable vehicle, and applicable auto insurance
- A police record check for the vulnerable sector is
- Must be able to provide either proof of vaccination or documentation providing a satisfactory reason under the Ontario Human Rights Code for not being vaccinated
- Must be legally eligible to work in Canada
- Wage: The hourly rate for this position is $20.90-$26.62.
