Position Summary:
The Office Coordinator is expected to maintain an efficient professional educational environment as well as provide administrative support to the Adult Education Services (AES) by serving as receptionist, assisting Program Director with administrative tasks, inputting student data, tracking attendance, create and maintain student records, assist and conduct registration, provide statistical information for reporting purposes, and ordering of office supplies.
Essential Responsibilities:
- Schedule is Wednesday through Friday, 7:30am - 4:00pm.
- Serve as receptionist by answering and directing phone calls, replying to emails, and greeting and assisting students.
- Create and enter student records in the LACES database.
- Enter follow up information in LACES database for students who obtained employment or moved.
- Assist in registering clients who are unable to attend scheduled registration.
- Create student records for new students and maintain records for current students.
- Organize and file paperwork and keep file cabinets in order.
- Create and monitor monthly attendance records in the NDE database, LACES, and provide information to staff.
- Monitor the attendance daily input in LACES, printout attendance reports, and maintain student sign-in records.
- Assist Instructors and Director with photocopies, faxes, filing and retrieving student files.
- Provide weekly registration report to CCSN and ECDC.
- Provide monthly attendance report to CCSN and ECDC.
- Input monthly hours attendance reports in MRIS for CCSN clients.
- Assist with preparation of reports including registration attendance, class attendance, Burlington English hour, Essential Education hour, volunteer, guest speaker, and program quarterly report.
- Conduct monthly office supply inventory and complete monthly order request.
- Responsible for maintenance of office equipment: copy and fax machines and ordering of supplies through contract vendor.
- Responsible for outgoing mail as well as sorting and distributing incoming mail to AES staff daily.
- Attend and participate on ongoing meetings and professional development.
- Assist with translation and interpretation with students and documents.
- Protect all confidential information, company property and electronic data. Comply with safety rules.
- Other related duties as directed.
Knowledge, Skills and Abilities:
- Due to clientele, must be bilingual in English and Spanish.
- Strong organizational and time management skills.
- Ability to work in a fast-paced environment.
- Ability to work with minimum supervision while completing all tasks.
- Ability to operate a multi-line phone system.
- Ability to work in a multi-cultural setting.
- Possess good oral and written communication.
- Proficiency in computers and software including Microsoft Office.
Qualifications:
- Associate Degree in Administration preferred or minimum of high school diploma and four years of work experience in administration field or office setting.
- Flexible schedule to work after hours as necessary.
Physical Requirements
- Primarily works in office environment, but will also work throughout the agency and at off site locations.
- Ability to communicate with instructors, students, volunteers and co-workers.
- Ability to operate and use office equipment, especially computer, keyboard and mouse.
- Ability to continuously sit and/or stand.
- May occasionally lift up to 35 pounds.
This position pays $20.00 per hour.
