POSITION TITLE: Operations Associate
SCHEDULE: Monday-Friday 8:30 am - 5:00 pm CST (40 hours a week)
DURATION: Temporary (~ 2 months)
HOURLY RATE: - $23- $25/hr
Is This Your Dream Job? As the Operations Associate, you will support events germane to the organizational calendar, assisting with logistics for team meetings and donor events, and learning how to surface, prioritize, and respond to team support needs in real-time. Also, you will work to understand supply needs, maintain a clean and productive environment, and ensure the office supports the team’s in-office work. You will begin developing an annual office calendar to assess the environment regularly, ensuring that supplies are well-stocked, equipment is operational, and the space is well-maintained.
Our Ideal Candidate:
- Proven ability to assess and prioritize multiple teams' needs in real-time, making independent logistics, office management, and event support decisions
- Demonstrated experience in developing and maintaining systems that ensure seamless daily operations, including managing office supplies and vendors to create a productive workspace
- Strong project management skills with experience organizing and leading events, including managing timelines, coordinating logistics, and overseeing vendor relations for both internal and external events
- Ability to communicate priorities and decisions clearly and respectfully, helping the team feel supported and fostering trust across departments
- Demonstrated ability to optimize collaboration tools (e.g., project management and communication platforms), training staff on best practices, and fostering team engagement through internal recognition and communication efforts
- Ability to take ownership of tasks without constant oversight, use sound judgment to execute efficiently, and proactively identify and resolve issues affecting office operations or team support
How You Will Spend Your Day:
- Event Support and Real Time Prioritization
- Building and refining systems that surface the team’s event and logistical needs regularly (daily, weekly, monthly)
- Prioritizing those needs and communicating your decisions in a way that builds trust and ensures the team feels supported
- Executing the prioritized needs efficiently, without needing approval for every action, while maintaining clear communication to ensure alignment
- Leading event logistics for internal and external team meetings, and celebrations, ensuring all details are executed seamlessly and efficiently
- Taking ownership of the end-to-end event planning process, including managing vendors, catering, AV setup, and guest support, focusing on improving team and participant satisfaction
- Office Management and Environmental Support
- Developing and maintaining a system to assess the team’s office environment needs and address them proactively (e.g., supplies, cleanliness, maintenance)
- Implementing an annual calendar for regular office assessments and planning for end-of-year cleaning, maintenance, and office reset activities
- Ensuring the office space remains an inviting and functional environment where the team can work productively and efficiently
- Coordinating vendor relationships, managing office maintenance, and anticipating any potential issues before they arise
- Making independent decisions about how to keep the office running smoothly, communicating proactively with the team, and ensuring all needs are met without micromanagement
